What are you trying to do?
Manage more than one mailbox from one place, and share them with your team with specific permissions for each person.
Steps
-
Add your mailboxes one by one. The number of mailboxes your plan allows is shown on the plans page.
-
Arrange them in folders. The “General” folder always exists, and you can create others with a colour and an icon — for example: Company · Personal · Support. When you add a mailbox you choose its folder, or make it “My own mailbox” so members see it only if you allow.
-
Invite your team from “Team” with each member’s email. They receive an invitation email and sign in with their own account.
-
Give each member only what they need on a mailbox or a folder: read · drafts · send · organise · delete. A member not granted a mailbox does not see it at all.
-
Know each mailbox’s manager. Only a mailbox’s manager changes its settings, signature and out-of-office reply, or disables or removes it. A workspace mailbox is managed by the workspace owner; a private mailbox by its owner.
What can go wrong
“Only the manager of this mailbox can do this.” The action needs the mailbox’s manager — ask them.
A member does not see a mailbox. They were not granted it, or it is someone’s private mailbox.
You cannot invite a new member. The number of members is set by the workspace’s plan; the free plan is for one person.
Something you won’t expect
Every workspace is fully isolated from the others: every mail table carries its workspace identifier, so there is no path by which one workspace could see another’s mail. And each member’s assistant sees only what that member sees — nothing more.
